Should You Switch to QuickBooks Online? A Bookkeeper’s Perspective

QuickBooks Desktop has had a good run. But as it fades into retirement, many Canadian business owners are now facing a very modern dilemma: Should I switch to QuickBooks Online?

Spoiler: The answer isn’t just a straight “yes” or “no.” It’s “maybe—but do it for the right reasons.”

This isn’t about chasing tech trends. It’s about how you run your business, what kind of visibility you need, and whether cloud-based bookkeeping makes your life easier or just adds another login to remember.

From where we sit (behind a lot of spreadsheets), here’s what you need to know before making the leap:

  1. It’s Not Just a Software Change, It’s a Workflow Change
  2. There Is a Learning Curve
  3. The Price Tag Isn’t the Whole Story
  4. When QBO Shines
  5. When It Might Be More Work Than It’s Worth
  6. Set Yourself Up for Success

1. It’s Not Just a Software Change, It’s a Workflow Change

Moving from Desktop to Online is like moving from a landline to a smartphone. Sure, both can make calls, but they’re not exactly in the same league.

QBO is built for real-time access, mobile logins, automated bank feeds, and instant collaboration. It offers the kind of flexibility that makes bookkeeping faster and more responsive—no more emailing backups or waiting until month-end to fix issues. A bookkeeper can log in, make adjustments, and be done before your coffee gets cold.

But if you’re used to having full control, working offline, or keeping your data tucked away on one computer, QBO might feel like a bit of a culture shock. You’re not just switching software, you’re switching how you work.

2. There Is a Learning Curve

QBO does come with a learning curve, but it doesn’t have to be steep. If you’ve been using the old system for years, you’ll probably bump into a few “Where did that button go?” moments.

The most common pain points we see:

  • Rules that auto-categorize things incorrectly (and keep doing it)
  • Bank feeds that look straightforward but behave mysteriously
  • Reconciliations that don’t work the way they used to

The good news is these issues are solvable, especially if you don’t go it alone. A bookkeeper who knows both systems can help you avoid hours of trial and error (and the urge to throw your laptop out a window).

3. The Price Tag Isn’t the Whole Story

QBO’s subscription model can feel like a big shift if you’re used to a one-time Desktop license. But that’s just the start. The real cost of switching often includes the time it takes to learn the new system, the effort involved in migrating your data, and the extra apps or add-ons needed to fill in any missing features.

On the flip side, there’s value that doesn’t always show up on an invoice. Like mobile access, real-time visibility, and fewer late-night panics about missing receipts. Just be careful with the lowest-tier plan—it might be a little too “lite” for your needs.

4. When QBO Shines

Not every business is a QBO business—but when it fits, it’s really something to behold.

Here’s where QBO tends to shine:

  • Businesses that want their bookkeeper to catch and fix issues in real time
  • Owners who invoice on the go or need access from multiple devices
  • Teams already using tools like Shopify, Dext, or Jobber
  • Anyone ready to ditch the USB key and stop emailing backups around

If any of this sounds familiar, QBO could be a smart move. It’s designed for real-time access, mobile invoicing, and easy integration with tools like Shopify and Dext, making day-to-day bookkeeping faster, cleaner, and less of a chore.

5. When It Might Be More Work Than It’s Worth

QBO isn’t a magic solution for everyone, and that’s okay. Businesses with complex inventory often find QBO a little too streamlined. If you’re juggling SKUs, assemblies, or multiple warehouses, the built-in tools can feel limiting.

The same goes for companies dealing with multi-currency transactions. Tracking every cent with the level of detail you’re used to in Desktop can take some creative workarounds.

And if your entire workflow is built around custom Desktop reports? Don’t expect a smooth copy-and-paste. QBO does things its own way, and it might not play nice with the setup you’ve spent years perfecting.

That doesn’t mean QBO won’t work. But in these cases, it often needs a bit of backup—custom setups, third-party apps, or a rethink of how things are structured.

It’s doable. Just don’t expect it to feel familiar out of the box.

6. Set Yourself Up for Success

If you decide to switch to QBO, a few simple habits will make a big difference.

Use clear and consistent names for your vendors and accounts so things stay organized. Upload receipts regularly—either through the mobile app or by forwarding them—so nothing gets lost. Let the system auto-categorize where it makes sense, and only make changes if you’re confident it’s wrong.

And most importantly, stay in touch! QBO gives your bookkeeper real-time access and the ability to work faster and more efficiently, but only if the information going in is accurate. What’s visible behind the scenes is only as good as what’s been entered. As the saying goes, garbage in, garbage out. A quick heads-up or a bit of context can make all the difference.
