How to Better Manage Your Service Crews

Landscapers, Plumbers, HVAC firms, home renovation contractors, and many other businesses in the home improvement industry have large service crews with many members who are all out working on different jobs, in different locations at any given time. Logistically, it can be a challenge to keep track of who and what is happening at each job site! You must make sure your crew has started on time, that they have the tools they need, and that they can reach out to you if they run into a problem. Plus, you need to keep close track of their hours to pay them appropriately.
There are ways to keep track of your team that are convenient, will help you provide better customer service, and will make payroll and estimating easier and more accurate. Jobber and Knowify both allow you to monitor your teams, while sending relevant information to QuickBooks Online to save you time and improve the accuracy of your bookkeeping. At AIS Solutions, we recommend these tools for landscaping teams, plumbers, HVAC technicians, general contractors, and any home contractor with staff or subcontractors to manage.

Track and Get Feedback from Service Teams with Jobber

Jobber is a powerful tool that allows you to schedule and keep track of your employees. Through the app you can assign jobs to your staff, including recurring jobs. You can drag and drop items to easily reschedule tasks. Also, when you make a scheduling change, Jobber sends push notifications to the affected employees.
Through Jobber, your employees can clock in, clock out, mark tasks as completed, add notes, and include attachments like photos of the job site. When your employees do any of these things, Jobber adds their GPS location, so that you can see them clock in and out of each property. The GPS feature also ensures that your team is where they should be and that notes or photos of completed work are attached to the correct job.
You can also enable constant GPS tracking through Jobber, so you can monitor your employee’s movements, and even the fuel level in the company vehicle they are using. With this precise information you can accurately gauge how long your employees spend on a job or in transit. This is important information to have on hand to ensure that your jobs are profitable.
Jobber also gives you a way to glance at the app and get a sense of where your employees are in their day. It keeps track of how many tasks each employee has completed, out of the total they have for a day (or for a project).

Manage Subcontractors with Knowify

As with Jobber, you won’t need to manually process your timecards if you use Knowify. The app keeps track of employees clocking in and out, and automatically sends that information directly to QuickBooks Online.
Knowify also offers GPS verification, so you don’t need to wonder if your team is still on the job, or if they’ve headed home early (but say they’ve put in a full day’s work). On the flip side, your team can be confident telling you when a job took longer than normal, as the GPS verification demonstrates that they did, indeed, stay late.
What Knowify offers that is unique is the ability to manage subcontractors. You can add all of your subcontractor’s schedules into the app, see what they have completed, and easily manage them using the app which seamlessly integrates with QuickBooks Online.
Carefully managing your employees and subcontractors is an important element to your success especially as your field crews grow.
We specialize in working with firms that need to manage field crews and are experts in implementing both Jobber and Knowify for our clients.
